Automatic Lock/unlock on opening files

HCL released a new version of the HCL Connections desktop plugins last month (March 23rd 2022) that included a new feature: auto locking. Now back in the day when we still had CCM, the automatic prompt to checkout a file or not on opening was a great thing and sorely missed on the normal personal and community files. There, you had to manually lock and unlock each file when opening and closing them if you wanted to prevent others from working on the files simultaneously. So suggestions were made and requests sent in by multiple people. And with the March 2022 release it was finally implemented. There is now the option to be prompted to lock a file on opening it.

The theme last week in our Global HCL Connections Super Users/Ambassador was “Collaboration in a broader sense. What challenges do you encounter using HCL Connections in conjunction with other collaboration tools?“. There were some interesting perspectives on this but what also evolved was that the conversation shifted towards a new topic: “What is HCL Connections actually meant to be used for?” So that’s a theme we would like to explore further during our next meeting!

Desktop plug-in for Windows fails on large uploads

At one of my customers we ran into the problem that users were not able to upload files larger than 50MB within the HCL Connections Desktop plug-in for Windows but were able to upload files of up to 1GB (server setting) in the browser. The error users got in the desktop connector was “Server returned bad request (400)” when uploading these larger files. I will post the solution they found (and that I can’t seem to find online) here for others to use in case they run into similar problems.

HCL Connections Superusers/ambassadors exchange

Three weeks ago I was able to speak at the virtual DNUG event with Joerg Rafflenbeul on the topic of a program that is very close to my heart. The adoption & guides program at Heitkamp & Thumann. For the last two years I’ve been working one day week with the ‘H&T Connect Guides’ (local superusers/ambassadors) at Heitkamp & Thumann to help them support their colleagues and expand the usage of the HCL Connections platform. Our session is about how this program is set up, what it’s strengths are and also were we feel we still can improve. Bringing your IBM Connections files to the user – desktop integration

IBM Connections as a platform is often host to many files. Files can be stored in communities, personal files, folders and / or CCM libraries. An important factor with these files is that users need to be able to work with them quickly and directly and therefore IBM offers not just the browser interface but also a desktop connector and MS Office .

IBM Connections: Default follow on public files is it logical?

At one of my customers a user complained about the fact that every time he opened a publicly shared file it would automatically ‘follow’ that file. This meant that every subsequent ‘like’, change or comment to that file would show up in his timeline. Of course he could ‘unfollow’ the file but found it irritating that it would follow it at all without him making that conscious decision.

Shared folders – potential security issue

IBM Connections allows users to share personal folders with groups, communities and users. An ideal option to share sets of documents/files with multiple target audiences at the same time. There are however some caveats. Especially in situations where Shared Folders are used to share potentially sensitive information with Restricted (secured) communities.
